Freeze Dryer France: Food Factory Procurement and Acceptance Guide

A practical buying brief for food processors: define the production duty, identify the responsible parties, and agree on the evidence required before shipment and at the French site.

Freeze dryer France procurement workflow: specify, verify and accept
An equipment purchase starts with a specification and ends with an evidenced handover.

A freeze dryer for a French food factory needs a defined project scope. An effective comparison requires evaluating proposals against the same food product, output targets, installation boundaries, and acceptance criteria. A machine listing, a laboratory demonstration, and a complete production installation describe vastly different purchases.

01 · Buying route

Choose the project route before choosing a model

A food business refining its formulation faces a different procurement challenge than a processor with an established ingredient specification and production schedule. Pilot work should resolve the finished product result before a larger installation is sized around it.

  • Product development: confirm whether the trial system can reproduce the relevant product preparation, freezing and loading conditions. The food R&D and pilot guide explains this boundary.
  • Routine food production: compare the complete process, including preparation, prefreezing where needed, loading, drying, unloading, defrost, cleaning and protected packing.
  • Uncertain product or demand: a representative trial or a contract-drying comparison may answer the next decision before an equipment order.

For any route, ask which food and operating conditions support the supplier’s capacity statement. A water-capture rating, shelf area or laboratory sample result alone does not define saleable food output.

02 · One purchasing brief

Write a cahier des charges that both sides can test

French INRS guidance treats the cahier des charges as the central specification document aligning equipment users and suppliers. It brings performance parameters, supply boundaries, intended operating conditions, maintenance, installation, site reception, and training into procurement discussions. Production, cleaning, and maintenance personnel should help define the practical operational requirements. [1]

For a freeze-drying project, the brief should translate operational requirements into identifiable technical inputs and verifiable records. The following purchasing structure is a proposed framework; it contains no measured production results.

What the freeze-dryer enquiry should define
Decision Information to supply Evidence to request
Product duty Ingredient, formulation, preparation, piece size or fill depth, freezing route and intended use. Trial identity, loading pattern and a stated boundary for products not tested.
Output basis Prepared wet feed, required acceptable finished output, working schedule and expected product mix. Mass records and a complete turnaround sequence using the same definitions.
Product result Agreed texture, appearance, reconstitution or ingredient performance; moisture and water-activity methods where relevant. Sampling positions, test methods, acceptance limits and treatment of nonconforming product.
Plant interface Available space and utilities, access, handling, drains, packing interface and service constraints. Drawings, utility requirements and a named party for every excluded connection or auxiliary.
Handover Required document language, operator roles, training, service arrangements and acceptance milestones. A document register, test protocol, deviation record and agreed sign-off responsibilities.

On a narrow screen, scroll within the table. Each entry is a project question, not a universal specification.

State whether a mass means purchased raw material, prepared food entering the dryer or acceptable dried product. For preliminary sizing, the capacity planner can organise the inputs; trials must establish the production assumptions.

03 · Responsibility before dispatch

Name the parties behind the delivered installation

INRS explains that a business established in the EU which buys a machine from a non-EU manufacturer for its own use becomes an importer and must assume the associated responsibilities. The manufacturer, authorised representative, importer and distributor have distinct roles; a delivery arrangement should not leave those roles implicit. [2]

The purchasing team should therefore obtain clear answers identifying the responsible party for four key questions:

  1. Who supplies the identified machine and the documentation appropriate to that supply?
  2. Who is responsible for import obligations where equipment comes from outside the EU?
  3. Who integrates the dryer with freezing, refrigeration, handling or packing equipment, and reviews the resulting assembly?
  4. Who accepts the installed system against the agreed specification, including the actual working conditions?

These questions need project-specific answers. A supplier’s address, a marketplace’s country domain or a freight term does not establish the complete responsibility chain. The contract should distinguish a complete machine, a supply intended for integration and the wider production line.

The supplier evaluation checklist covers the broader commercial review. For a French destination, the additional task is to make the acquisition and reception responsibilities explicit before equipment is dispatched.

04 · Deliverables in the quotation

Specify the documents, operating information and training

Agree a document register for the quoted model and configuration. It should distinguish documents needed for order review, dispatch, installation and final handover. Request the operating, cleaning and maintenance information in French for the intended users, and identify who supplies translations and training.

INRS describes instructions and conformity documentation accompanying new machinery, and stresses that declarations and markings do not remove the employer’s responsibility to ensure the equipment is conforming. Its reception guidance also considers the environment in which the machine is installed. [3]

  • Identity and boundary: model, configuration, identification, included assemblies and exclusions.
  • Applicable declarations: the route and issuer appropriate to the actual machine or integration supply, reviewed by the responsible project parties.
  • Instructions and drawings: installation interfaces, safe operation, cleaning, maintenance, alarms and intervention procedures.
  • Food-process information: identified food-contact components, intended contact conditions and cleaning compatibility to be reviewed for the application.
  • Training and support: attendees, language, location, scope, spare-parts identification and documented service arrangements.

Record unresolved document requirements as open action items with a designated owner and milestone deadline. Neither a general sales brochure nor an unspecified “CE certificate” should replace thorough review of the actual equipment supply and its applicable documentation.

05 · Evidence at two locations

Agree pre-reception and site reception before the demonstration

INRS recommends project milestones from the initial specification through pre-reception before shipment and final reception at the user’s site, with defined validation criteria. The acquisition process should verify whether the objectives in the specification have been met. [5]

For a food freeze dryer, a practical contract can distinguish the evidence available at the manufacturer from checks that depend on the installed French site. The ledger below is a proposed acceptance framework, not a report of completed tests.

Two milestones, with separate evidence
Milestone Proposed review Record the decision
Before shipment Machine identity and scope; agreed functional checks; available documents; representative food/load trial where contracted. Protocol revision, results, outstanding items, responsibility and conditions for release to shipment.
At the French site Installation against instructions; utility and handling interfaces; operation in the intended environment; agreed training and installed performance checks. Site conditions, checks completed, deviations, corrective work, retest and final acceptance status.
Product evidence at either milestone Specified food lot/formulation, preparation and freezing history, tray masses and positions, process record and agreed application tests. Which results represent the purchased duty, which remain provisional, and what must be repeated.

Scroll the table on mobile. The exact tests and responsibilities require agreement for the supply and installation.

Keep the sample history attached to the result. Malik, Gouseti and Bakalis studied concentrated coffee and gum-arabic systems and found that freezing treatment affected the dried microstructure and reconstitution behaviour. The response depended on the formulation. These were specific high-solid systems, not a universal food-production recipe. [6]

The procurement implication is to preserve formulation and freezing history in the acceptance record and test the intended food application. An attractive dry sample alone cannot show that a changed formulation or preparation route will give the same result.

Agree sampling and test methods before a demonstration. A single selected piece cannot describe the whole load, and a timer setting is not a product release criterion. The food freeze-dryer FAT and SAT guide develops the testing method. Equipment acceptance and food-safety or shelf-life validation remain separate tasks.

06 · Comparable scope

Compare the complete delivered project

Use the same purchasing brief for every proposal. Itemize equipment, auxiliaries, delivery, unloading, utility connections, integration, testing, documents, and training separately. An excluded item requires a designated responsible party and a clear cost basis before quotations can be compared fairly.

A site survey should confirm equipment access routes, lifting and positioning, electrical interfaces, cooling and heat rejection, drainage, vacuum exhaust venting, maintenance access, and the product route from unloading to packing. The installation planning guide provides the detailed review.

Ask whether quoted energy includes prefreezing and auxiliaries, and what product, loading and time interval support it. Rated power is not a measured batch-energy figure. Use the plant’s own tariff and an agreed measurement boundary for an operating-cost comparison.

For support in France, request evidence of who performs commissioning, warranty work and later maintenance, in which language and under which commercial terms. Local supply, remote assistance and a contracted site visit should be itemised rather than treated as interchangeable services.

Build a France project handover sheet

The bilingual labels below are an editorial aid for preparing a project discussion. The parties should agree the contractual wording, required document language and actual responsibilities for their installation.

Besoin produit / Product duty
Food, preparation, load basis, required result and product trial reference
Périmètre / Supply boundary
Included equipment, auxiliaries, exclusions and responsible contracting party
Documents / Document register
Document requested; equipment identity; language; issuer; version; delivery milestone
Réception / Acceptance
Factory/site test; agreed criterion and method; sampling; deviation disposition; sign-off party
Assistance / Support
Named provider; remote/on-site scope; travel, training and spares agreed in writing

These labels are not an official statutory form, certified translation or commitment to French-language support.

Copy the completed notes into the message field on the project enquiry page. Information entered here is not submitted or stored by this worksheet.

Prepare a France food-processing project enquiry

Provide the product and format, prepared wet feed, required finished output, site location, available utilities, intended market date and the acceptance tests that matter to the application. Include any required French documentation, training and service scope.

Request a project-specific equipment and interface review from GoodFreezeDryer. The written proposal should identify what is offered, what remains subject to product trials, and which destination documents and services require confirmation.

Questions before ordering

Does CE marking prove food output and product quality?

No. The applicable conformity review and the contracted food-performance tests answer different questions. INRS also cautions that declarative documents do not by themselves guarantee machine conformity or remove the employer’s responsibilities. The project still needs the agreed product, load and installation evidence. [3]

Is a local seller equivalent to a complete installation service?

The quotation must establish that. Verify which entity supplies the equipment, carries out integration, commissions the system, trains operating staff, and provides warranty support. Confirm the exact scope and exclusions in writing rather than inferring capabilities from a vendor’s sales location.

Can a laboratory trial establish factory capacity?

A laboratory trial informs product development within its specific tested conditions. Factory production capacity also depends on representative tray loading, preparation methods, freezing parameters, the accepted product result, and the complete operating schedule. Document which assumptions require verification at the intended production scale.
