Freeze Dryer Germany: Food Factory Procurement Guide
Define the food duty, document the supply boundary, and agree what must be demonstrated before a production system is accepted.

For a freeze dryer project in Germany, compare the complete food-production system rather than the country label or chamber size. Establish the product and output requirement, confirm the applicable EU conformity route and responsible parties, agree German operating documentation, and test the proposed load against a written product specification. A CE marking, a dry sample and a nominal batch capacity answer different questions; all require their own supporting evidence. [1] [2]
Define the food-production duty before comparing suppliers
Stating capacity in “Kilograms per day” is incomplete unless the quotation clarifies what is weighed. Purchased fruit, prepared wet food entering the dryer and saleable finished product have different masses. Preparation losses, product moisture, handling and the accepted drying cycle link those quantities.
The enquiry should specify the formulation, cut size or fill depth, freezing route, prepared wet feed, required finished output, operating schedule and intended packaging. It should also define what makes the food acceptable: appearance, texture, rehydration, ingredient performance or another measurable customer requirement.
Keep the capacity basis visible. Request usable shelf area, tested loading, water removal and the complete turnaround sequence together. The capacity planner can organise an initial estimate; a representative product trial must establish its production inputs.
A laboratory system, a small food unit and an industrial installation should therefore be evaluated against the same defined duty. Their catalogue capacities may describe different products, test conditions or system boundaries. The food freeze-dryer selection guide explains the broader sizing decision.
Confirm the EU machinery route and the responsible parties
Timing matters for a project ordered in 2026. The European Commission states that machinery placed on the EU market before 20 January 2027 must comply with Machinery Directive 2006/42/EC; Machinery Regulation (EU) 2023/1230 becomes mandatory from that date. Agree the applicable route against the actual placing-on-market plan, rather than the purchase-order date alone. [1]
Record whether the supply is a complete machine, partly completed machinery for integration, or a wider assembly. Under the Directive, partly completed machinery has an incorporation route and must not be put into service until the final machinery has been declared conforming where required. The integration boundary should be resolved before the contract is signed. [3]
For a direct import from outside the EU, identify the EU importer and its verification responsibilities. Official EU guidance requires importers to check that the manufacturer has completed the applicable assessment and documentation, marking and traceability obligations. A freight arrangement alone does not settle those responsibilities. [2]
The buyer should assign each unresolved compliance question to the manufacturer, importer, integrator or qualified project adviser. This includes identifying any other legislation applicable to the actual electrical, pressure, refrigeration or integrated-system design. A generic checklist copied from an unrelated dryer is not an assessment of the proposed installation.
Source check: 26 October 2026. The transition described here concerns the EU machinery framework. The project team should reconfirm the requirements for the actual supply, market date and installation before commitment. This guide does not establish conformity for a particular GoodFreezeDryer configuration.
Agree a document schedule for the actual machine
Request a document register tied to the quoted model, configuration and responsible issuer. It should identify what is available for review before ordering, what accompanies delivery, and what is completed after installation or integration. Resolve missing deliverables before treating quotations as equivalent.
| Item | What the review should establish |
|---|---|
| Machine identity and boundary | Model, configuration, nameplate identification, included assemblies, excluded equipment and integration responsibility. |
| Conformity route | Applicable legislation, assessment route, standards used and the declaration appropriate to the completed or partly completed supply. |
| Operating information | German instructions, safety information, cleaning and maintenance tasks, drawings and the agreed document versions. |
| Food-contact evidence | Materials and components in contact with food, intended contact conditions, relevant compliance evidence and cleaning compatibility. |
| Installation and test records | Utility/interface drawings, commissioning responsibilities, calibration scope and the agreed FAT/SAT records. |
On a narrow screen, scroll the table horizontally. This is a procurement review list; the applicable legal deliverables depend on the assessed supply.
The Machinery Directive requires instructions in the official language or languages of the Member State where machinery is placed on the market or put into service, subject to its stated exceptions. For a German installation, agree the German instructions and any required translation with the responsible supplier. [3]
EU food-contact rules cover materials in food-processing machinery as well as packaging. The Commission identifies Regulation (EC) No 1935/2004, food-contact GMP under (EC) No 2023/2006, and relevant material-specific or national provisions. Review trays, seals and other contact components for their intended conditions; a stainless-steel grade alone does not establish the whole system’s food-contact compliance. [4]
Distinguish the documents supplied to the customer from the technical documentation the manufacturer must retain and make available to authorities on request. Agree access and review arrangements in advance without assuming that every buyer automatically receives the entire confidential technical file.
Review the German site before freezing the equipment scope
Base evaluations on the actual site survey and utility specifications. Electrical compatibility should cover supply, phases, frequency, protection, starting demand and the interface to the factory installation. Connected power is useful for infrastructure planning; it is not a measurement of batch energy consumption.
- Refrigeration and heat rejection: confirm the cooling arrangement, operating ambient conditions, cooling-water requirements where applicable, refrigerant identity and charge, service access and project-specific refrigerant obligations.
- Defrost and cleaning: define drainage, condensate handling, cleaning access, drying after cleaning and the time allocated between batches.
- Vacuum system: agree pump location, exhaust routing, maintenance access and any oil or exhaust-management provisions relevant to the chosen system.
- Building and handling: check delivery access, floor and lifting information, door clearances, tray or trolley movement and the route to protected packing.
- Controls and support: agree operating languages, recipe permissions, batch-data export, alarm records and the conditions for any remote access.
Translate each interface into a drawing, specification or named responsibility. State clearly who supplies the prefreezer, cooling equipment, electrical connection, drains, handling equipment and installation labour. The food facility planning guide provides the wider production-flow review.
Make a representative food trial part of acceptance
Research on monitoring tray-based food freeze drying reports that behaviour near the primary-drying endpoint can vary with cycle settings, loading and product type. Pisano and colleagues studied sugar solutions and prefrozen spinach in a specific small industrial system. Their findings support product-specific endpoint verification; they do not supply a universal food cycle or validate every commercial monitoring arrangement. [5]
The practical procurement implication is to agree on the product, load, test method and acceptance criteria before a demonstration. A no-load vacuum test or a selected attractive sample cannot establish the quality and output of a representative production batch.
| Record | Define before the trial | Decision supported |
|---|---|---|
| Product and loading | Raw-material lot, formulation, preparation, geometry, freezing history, tray type, tray masses and load pattern. | Whether the test represents the food and operating condition being purchased. |
| Process and turnaround | Recipe revision, product and shelf temperature records, pressure history, endpoints, unloading, defrost and cleaning boundary. | Whether the quoted production schedule has an evidenced basis. |
| Sampling and quality | Agreed tray positions, centre checks where relevant, moisture method and basis, water activity where specified, and application tests. | Whether the required result is achieved across the tested load. |
| Output and energy | Saleable mass, rejected fractions, meter location, included auxiliaries and the time interval measured. | Whether yield, throughput and energy figures can be compared fairly. |
| Repeatability and disposition | Required repeat tests, deviations, corrective actions, retest conditions and the final acceptance decision. | Whether the evidence meets the agreed contract rather than only demonstrating feasibility. |
Use product-specific limits and methods. No temperature, pressure, moisture percentage or batch time in this checklist is a universal release requirement.
Keep factory acceptance testing and site acceptance testing distinct. The food freeze-dryer validation guide covers FAT, SAT and loaded performance in more detail. Product shelf-life validation and the factory’s food-safety controls also require their own evidence; they are not established by equipment acceptance alone.
Compare the complete delivered scope
Obtain quotations against a single written scope. A lower machine price may omit work that another proposal includes. Ask each supplier to identify inclusions, exclusions, site assumptions, provisional allowances and items requiring a product trial.
| Scope | Questions for the supplier |
|---|---|
| Core process equipment | Are freezing, dryer shelves, condenser, vacuum system, controls and the necessary auxiliaries included? |
| Food handling and finishing | Which trays, trolleys, loading aids, product recovery and packing interfaces are included? |
| Delivery and installation | Who arranges freight, unloading, access, connections and integration? Which delivery term and cost exclusions apply? |
| Documentation and testing | Which German documents, conformity deliverables, product trials, FAT and SAT activities are priced? |
| Training and service | Who commissions and trains operators? What service location, language, warranty scope, parts availability and response arrangements are actually contracted? |
Compare operating evidence per acceptable finished kilogram using the same metering and process boundaries. Separate prefreezing, drying, auxiliaries and turnaround where they are measured separately. Do not turn rated electrical power into a German operating-cost estimate without a measured or clearly stated energy basis and the plant’s own tariff.
Used equipment requires the same duty and scope review, plus an assessment of its condition, history, modifications and intended use. An availability statement or mechanical inspection does not by itself resolve suitability for the proposed food, integration or conformity route. The supplier checklist can structure the commercial comparison.
Request an equipment document register
A document register helps a buyer distinguish a promised deliverable from an example shown during a sales discussion. Record the identified machine and supply boundary against each requested item.
- Machine and supply identity
- Model/configuration; supplied system boundary; manufacturer and project references
- Requested record
- Applicable conformity documentation, instructions, drawings, utility information or agreed test records
- Responsible issuer
- Party preparing the record; party reviewing applicability to the supplied configuration
- Language and delivery
- Required language; revision; contractual milestone; received/pending status
- Acceptance follow-up
- Missing item; effect on the agreed acceptance plan; action owner and disposition
This is a buyer preparation register, not an exhaustive legal checklist, equipment certification or a sample of documents already delivered by the company.
Copy the completed notes into the message field on the project enquiry page. Information entered here is not submitted or stored by this worksheet.
Prepare a Germany food-processing project enquiry
Food manufacturers can provide the product and formulation, prepared wet feed, finished-output target, quality criteria, planned market date, factory layout and utility information. Include the proposed German documentation, importer/integrator responsibilities and acceptance scope.
The GoodFreezeDryer engineering discussion can then identify the process duty, missing trial evidence, site interfaces and quotation questions. Any Germany-specific conformity deliverables, installation or service commitments must be assessed and expressly confirmed for the proposed configuration.
Frequently asked questions
Can an imported freeze dryer be used in Germany?
Country of manufacture does not settle the answer. The actual equipment, applicable EU requirements, responsible economic operators and installation must be assessed. For a direct non-EU import, confirm the importer’s obligations and the manufacturer’s supporting documentation before purchase. [2]
Is a CE logo enough to approve a machine?
No. CE marking is the manufacturer’s declaration of compliance with the applicable EU rules; the relevant conformity assessment and technical documentation support it. Request the declaration and documents appropriate to the actual machine and supply boundary. A logo does not demonstrate food throughput or finished-product quality. [6]
What should a project planned for 2027 check?
Confirm the actual placing-on-market date and applicable machinery route with the responsible parties. The Commission states that Regulation (EU) 2023/1230 becomes mandatory on 20 January 2027. A 2026 order should not be assumed to fix the legal route for a later project. [1]
Is a laboratory freeze dryer suitable for commercial food?
Only a duty-specific assessment can establish suitability. Review food-contact and cleaning requirements, usable loading, vapour capture, controls, material handling and representative output. A laboratory condenser rating or a small successful sample does not establish a food factory’s daily production capacity.
Does FAT establish the food’s shelf life?
No. Equipment acceptance assesses the agreed machine specifications and performance criteria. Shelf life also depends on the actual food, drying result, handling, packaging and storage conditions, which require a separate validation plan.
